What it does

Potlucks fail on the savory side when hosts guess dishes instead of portions. Forty guests at one and a half portions need 60 portions, which is 5 dishes at a dozen each.

The tool above takes guests, portions each, and portions per dish. It returns dishes needed, total portions, and leftover servings, so sign up sheets can ask for exactly 5 mains.

This math fits one dish size with steady appetites. It does not fit mixed mains, sides, and desserts with different serving sizes, nor teen athletes beside light grazers.

Food safety guidance frames the same gathering from the other side: keep cold foods cold and hot foods hot across the event window, with charts for storage after. Portion counts here set buying before that clock starts.

Ask for dishes, not portions, on the sheet. Five named dishes beats sixty promised portions that arrive as eleven salads.

How to use

  1. Enter guest count expected.
  2. Enter portions each guest takes.
  3. Enter portions one dish serves.
  4. Read total portions first for buying.
  5. Read dishes needed for the sign up sheet.
  6. Read leftovers to plan take home boxes.

Formula

Portions = guests x each. Dishes = ceil(portions / per dish). Leftover = dishes x per dish - portions.
guests
People eating from the table.
each
Portions one guest takes on average.
per dish
Servings one brought dish yields.

Rounds up since partial dishes do not serve. Even division leaves zero leftover. Mixed dish sizes need one run per size.

Worked example

Example: 40 guests, 1.5 portions each, 12 per dish

Guests 40, portions each 1.5, portions per dish 12.

  1. Portions: 40 x 1.5 = 60 portions.
  2. Dishes: 60 / 12 = 5 dishes.
  3. Leftover: 5 x 12 - 60 = 0 leftover.
  4. Tool shows 5 dishes, 60 portions, 0 leftover.
  5. Sheet: ask 5 volunteers for one 12 portion dish each.

Limits

  • One dish size per run. Mixed mains and sides need split runs.
  • Ignores dietary splits like vegetarian counts.
  • Ignores serving loss from spills and seconds rushes.
  • Safe holding times still bound the event window.

Common mistakes

  • Asking portions instead of named dishes.
  • Using 1 portion each for hearty crowds.
  • Forgetting the round up to whole dishes.
  • Mixing dessert bites with main portions.
  • Skipping take home boxes for the surplus.

Questions

How many dishes for a potluck?

Guests times portions each, divided by portions per dish, rounded up.

How many portions per guest?

Often 1 to 2 for mixed tables. Hearty crowds run 2 or more.

What are leftover servings?

Dish capacity minus portions needed. 4 dishes at 15 for 50 portions leave 10.

What about mains vs sides?

Run each size separately. Mains and sides rarely serve equal counts.

How do I fill the sign up sheet?

Post dish count with sizes. Five 12 portion dishes beats open portions.

How long can food sit out?

Follow food safety windows: cold stay cold, hot stay hot, then refrigerate.
