What it does

Tent size is usually quoted in width by length, such as 20 by 40 feet. The floor area is the product of those two numbers. A 20 by 40 tent covers 800 ft2. How many people fit in that area depends on what they will do inside it: stand at a reception, sit in rows, or eat at tables.

The National Fire Protection Association publishes occupant load factors in NFPA 101, the Life Safety Code. For assembly areas, the common factors are 5 ft2 per person for standing space, 7 ft2 for rows of chairs, and 15 ft2 for tables and chairs. These are net area factors, which means the space taken by a stage, bar, or buffet should be subtracted before dividing.

A 20 by 40 tent with tables and chairs gives 800 / 15 = 53 people. The same tent with rows of chairs holds 114, and standing it holds 160. Those numbers are a planning starting point, not a permit. The local fire marshal may apply a different factor, require aisles, or cap the number based on exits.

Layout matters as much as the raw count. A 53 person table layout needs room for serving aisles, a head table, a cake table, and a dance floor. Many planners use a lower working capacity than the code maximum so guests can move comfortably. A tent that feels full at the code limit is often too tight for a seated dinner.

This calculator reports the tent area, the factor used, and the resulting capacity. It does not subtract stages, bars, or dance floors, and it does not replace a site plan reviewed by the tent company and the local authority.

How to use

  1. Choose imperial or metric units.
  2. Enter the tent length and width from the rental quote or site plan.
  3. Pick the seating style that matches the event.
  4. Read the floor area and the estimated capacity.
  5. Subtract space for a stage, bar, buffet, or dance floor before finalizing.
  6. Check the local fire code and the tent company's layout guidance.

Formula

Area = length x width. Capacity = floor(area / area per person). Factors: 5 ft2 (0.46 m2) standing, 7 ft2 (0.65 m2) in rows of chairs, 15 ft2 (1.4 m2) with tables and chairs.
L
Tent length in feet or meters.
W
Tent width in feet or meters.
A
Floor area in square feet or square meters.
f
Area per person for the seating style.

The tool floors the result, so a partial person is never counted. The factors are net area values. A stage, bar, buffet, or dance floor takes area away from the guest count and should be subtracted before the division.

Worked example

Example: 20 ft x 40 ft tent with tables

Imperial defaults: 40 ft length, 20 ft width, tables and chairs. The metric mirror is 12.2 m x 6.1 m.

  1. Area: 40 x 20 = 800 ft2.
  2. Factor for tables and chairs: 15 ft2 per person.
  3. Divide: 800 / 15 = 53.33.
  4. Floor the result: 53 people.
  5. The tool shows 800 ft2, 53 people, and 15 ft2 per person.
  6. In metric mode the same tent is 74.42 m2 at 1.4 m2 per person, which also gives 53 people.
  7. With rows of chairs the same tent holds 114 people, and standing it holds 160.

Limits

  • The result uses net area factors and does not subtract stages, bars, buffets, dance floors, or generators.
  • Local fire codes, exit requirements, and the fire marshal can set a lower capacity than the area calculation.
  • The estimate assumes a rectangular tent with no obstructions and a level floor.
  • It does not account for table shape, aisle width, wheelchair access, or the space needed for serving staff.

Common mistakes

  • Using the standing capacity for a seated dinner, which packs guests far too tightly.
  • Forgetting that a dance floor, stage, or buffet removes area from the guest count.
  • Mixing feet and meters when entering the tent dimensions.
  • Assuming the rental company's tent size is the usable inside size; sidewalls and frame hardware reduce it slightly.
  • Ignoring local fire code and exit requirements until after the layout is set.

Try it yourself

Quick checks. Answers sit tucked under each question.

A 30 ft x 40 ft tent is set with tables and chairs. How many guests does the calculator allow?

80 people. The area is 1,200 ft2 and the factor is 15 ft2 per person.

A 20 ft x 20 ft tent is used for a standing reception. What is the capacity?

80 people. The area is 400 ft2 and the factor is 5 ft2 per person.

A 20 ft x 30 ft tent has rows of chairs. What is the capacity?

85 people. The area is 600 ft2 and 600 / 7 = 85.7, which floors to 85.

Questions

How many people fit in a 20 x 40 tent?

About 160 standing, 114 in rows of chairs, or 53 at tables and chairs, before subtracting space for a stage, bar, or dance floor.

What area per person should I use for a wedding?

A seated dinner with tables usually needs 15 ft2 per guest. Add space for a dance floor, head table, bar, and serving aisles.

Does a dance floor count against capacity?

Yes. It takes area that would otherwise hold guests, so subtract it before dividing by the per person factor.

Is the NFPA factor a legal maximum?

NFPA 101 is a model code. The local fire code and the fire marshal set the enforceable limit, which can be lower.

How do I convert the tent size to square meters?

Multiply square feet by 0.092903. A 20 x 40 tent is 800 ft2, or about 74.32 m2. The calculator uses the exact entered dimensions, so small differences can appear.

Do sidewalls change the capacity?

Sidewalls do not change the floor area, but they can affect ventilation, exits, and the fire code review. Follow the tent company's layout and the local rules.
